CANCELLATION POLICY
- Sometimes there are good reasons for cancelling or rescheduling appointments. However, unlike brief medical appointments, it is impracticable to fill a psychology appointment that runs for 50 minutes plus at short notice.
- If for some reason you need to cancel or reschedule your appointment, please allow a minimum of 48 hours notice, i.e. please call or email at least 48 hours prior to your appointment time. Cancellation fees will be applied at 100% of your regular session fee if cancelled within the 48 hour window of your session.
- If you wish to cancel or reschedule an appointment, please contact Picton Psychology Pty Ltd via phone or email. Please email reception@pictonpsychology.com.au and/or call 02 4602 7111. Please leave a voicemail or email our team if it outside of standard hours. You can also cancel your appointment via the link in your reminder SMS message.
- It is also important to note that if you cancel your initial appointment OR future scheduled appointments it is not always possible to offer you an alternate appointment within 14 days due to client load scheduling.
- If for some reason you cancel your appointments consecutively, our Practice Manager will make contact with you to check in to ensure that your needs are being met and that you feel comfortable with your treatment.
- We understand that you might feel overwhelmed, anxious or nervous about attending your first appointment, and we want you to feel reassured that this is normal. We encourage you to keep your initial appointment so you can begin to experience the many benefits of therapy.
- If you wish to discuss any possible barriers to treatment or concerns you may have prior to your first session or at any time during your treatment, please reach out to our Practice Manager, Natalee.
- Please note that our cancellation policy is non-negotiable.
Please note: Picton Psychology does not bulk bill.
PAYMENT PROCESSING AND DECLINED PAYMENTS
- Please ensure there are adequate funds available in your nominated credit card before each session.
- Payment will be processed automatically at 6 pm each day via the practice management software from your nominated credit card.
- Insufficient funds will result in an administration fee of $25.00 per transaction for time spent reprocessing declined payments.
- Should your payment decline, our scheduling software will automatically convert your next session to tentative if your payment is not received within 24 hours.
- While we do our best to resolve declined payments within 24 hours, sometimes it is not possible due to our workload. Ultimately, it is your responsibility to ensure that your payments have been processed successfully to ensure an uninterrupted flow of your future scheduled appointments.
